Glossary
Plain definitions of the terms you will see in CalKeep and in these docs.
Connecting accounts
Provider
The company that holds your calendar, contacts, or tasks: Microsoft, Google, Apple iCloud, or Yahoo.
Source
One calendar, contact book, or task list inside a connected account. You turn each source on or off separately.
Requested, granted, found, and turned on
CalKeep tracks these separately, because each one can be true without the others:
- Requested: what you asked CalKeep to get access to before signing in.
- Granted: what the provider actually allowed. If it refused, CalKeep shows requested but not granted.
- Found: what CalKeep discovered in your account once it had access.
- Turned on: what you chose to use. Nothing is turned on for you.
Unavailable means CalKeep cannot offer that item right now. It is not a choice you made.
Write-back
Sending a change you made in CalKeep to the provider's copy of a contact or task. It is off by default for every contact book and task list. With write-back off, your changes stay in CalKeep.
Delete at source
Deleting the provider's copy of a contact when you delete it in CalKeep. It is a separate switch from write-back, and it is off by default.
Sync now and Refresh provider access
Sync now fetches the latest data for a source that is already on. Refresh provider access renews CalKeep's permission when the provider has stopped accepting it, for example after a password or policy change. Sync now cannot fix a permission problem.
Legacy connection
An iCloud or Yahoo connection made with an app-specific password before new connections were paused. It may keep working while its password stays valid.
Read-only calendar link
A private ICS or webcal address for a calendar. CalKeep reads it on a schedule
and never writes to it.
File snapshot
An ICS file you import once. It copies events into CalKeep and does not stay in sync.
Mirror
A copy of an event that CalKeep places on another calendar you chose, so the event shows there too.
Scheduling
Availability profile
A named set of bookable hours with its own time zone. See Availability profiles.
Event type
One kind of meeting you offer, such as a 30-minute discovery call, with its own length, hours, and questions.
Booking page
The public link where clients pick a time. It offers one or more event types. See Booking pages.
Series and occurrence
A series is a repeating event or booking. An occurrence is one date in it. If you change just one occurrence, CalKeep keeps that change alongside the series. See Recurring events and bookings.
Workspace and security
Workspace
Your organization's space in CalKeep. People, calendars, contacts, and settings belong to one workspace, and data does not cross between workspaces.
Seat
One person's place in a workspace. You buy seats on Azure Marketplace. See Billing and plans.
MFA, TOTP, and passkey
MFA means signing in with a second proof beyond your password. TOTP is the 6-digit code from an authenticator app. A passkey uses your device or a security key instead, such as Windows Hello, Touch ID, or a YubiKey. WebAuthn is the technical name for passkeys.
Recent MFA
Some sensitive actions ask you to confirm MFA again if you have not done so in the last few minutes.
SSO and SAML
SSO means signing in through your company's identity provider, such as Microsoft Entra ID or Okta. SAML is the standard CalKeep uses for it. See SAML 2.0 SSO.
SCIM
A standard that lets your identity provider add and remove CalKeep users automatically. See SCIM provisioning.
Your own AI provider credentials (BYOK)
Using your organization's own account with an AI provider for CalKeep's AI features, instead of the one CalKeep supplies. See AI provider.
